arebyte is a registered charity (registered charity number 1167185). Its registered office is at Java House, 7 Botanic Square, London City Island, E14 0LG. For the purposes of the General Data Protection Regulation (“GDPR”) and UK data protection law, arebyte is the data controller of your personal data.
arebyte may change this Privacy Notice at any time by publishing a new version on its website, to take into account changes at arebyte or to reflect changes to regulation or legislation. Please check back from time-to-time.
How we collect your personal data
We hold personal data that have been provided by you directly when you interact with us in the following ways:

We may collect the following categories of personal data:
Name and contact information such as an address, email address, telephone number and on an ongoing basis, any change of address details
Your opinion as well as sensitive data such as gender, ethnic group and disability in relation to anonymous audience questionnaires filled in on a voluntary basis when attending events
Information concerning your relationship with arebyte, including records of communication, meeting notes, records of donations and attendance at arebyte’s events
Technical information collected through the use of cookies about your use of www.arebyte.com including details of your domain name, location and internet protocol (IP) address, operating system, browser version, the content you view, and how long you stayed on a page. How we use your personal data
Our responsibilities
If for some activities the law requires arebyte to seek your consent to process your personal data, arebyte will obtain it before carrying out that activity.
In other cases, the law allows us to process your personal data when there is a legitimate interest for arebyte to do so. We will only do so in a way which is described in this privacy notice. This will always be weighed against your rights, interests and expectations: arebyte may only process personal data in accordance with its legitimate interests if (i) a business need can be demonstrated, (ii) processing your data does not cause you harm and (iii) is not overly intrusive.
When required by law, we may have to disclose your personal data to another party to comply with our legal obligations such as subject access requests, tax legislation (reclaim of tax on Gift Aid from HMRC), safeguarding requirements by the Charity Commission, prevention and detection of crime (assist competent authorities with investigations).
We do not share your data with anyone else or any other organisation unless it is necessary for the purpose for which you have given us the data or described in this notice, for instance with service providers processing data to carry out work on behalf of arebyte (‘data processors’). This includes our bulk email distributor MailChimp, Google Analytics or other companies providing website hosting services, email delivery services or payment processing services.
The purposes for which we collect and process your data
We only collect the information that is necessary to carry out the following purposes:
To keep you up-to-date with our exhibition, events, activities, news and offers via email when you subscribed to our newsletter
- To fulfil our contractual obligation when we have a contract in place with you or provide a service to you, for instance when you book a ticket, register to an event, purchase an artwork, rent a studio, or make a donation. In these situations, we would use you personal data to administer the donation, process payments or contact you with important information relating to your booking or purchase such as confirming your order, reminding you of an upcoming event youʼve booked for, or letting you know about changes or issues that may affect your visit
- For market research purposes, in order to report to funders and to continually improve the services we offer. For these purposes, we use your personal information in aggregate and therefore anonymously. These anonymised statistical data are collected as follows:
- through our feedback forms, we collect your opinion to help us understand our audience better so we can ensure our activities are well targeted, relevant and effective.
- through the use of cookies we automatically collect information about your visit to our website. We are not able to identify any individual from traffic or site statistics. We process them through the use of Google Analytics to monitor site traffic and usage, so that we can work to improve user experience and to ensure that content on our website is presented in the most effective manner. How long your personal data is kept
We keep your data secure in our database with appropriate security mechanisms in place.
We may retain your personal data for as long as is necessary to complete the task for which it was collected or for such period as we reasonably consider appropriate in connection with our existing relationship with you, or for record-keeping and archival purposes. or until we no longer need it. The data we use for marketing purposes will be kept until you notify us that you no longer wish to receive this information.
Your rights
You have the following rights:
- Where our data processing is based on consent, you may withdraw this consent at any time. You can easily unsubscribe from our newsletter at any time by clicking ‘unsubscribe’ at the bottom of our email
- Where we rely on our legitimate interest to process data, you may ask us to stop doing so, on grounds relating to your particular situation, where you feel this has a disproportionate impact on your rights
- You may ask to receive from us the personal data we hold about you in a reasonable format, and/or to obtain access to it
- You may require us to correct your personal data if it is inaccurate
